Users, roles and permissions
How to add staff, give them the right role, set a till PIN and create your own roles with exactly the permissions you want.
Everyone who works in Cmerce gets their own user. The role decides what they see and can do – in the admin panel and at the till. Give each employee only the access they need.
Before you start
- You need permission to manage users. The owner and administrators have it.
- You can only give others roles and permissions that you hold yourself.
The built-in roles
| Role | Suited for |
|---|---|
| Eier (Owner) | Full access. Given automatically to the first user and cannot be removed. |
| Administrator | Full access except platform billing. |
| Butikkansvarlig (Store manager) | Day-to-day running across web and till. |
| Kasserer (Cashier) | Till only – rings up sales and takes payment. |
| Butikkmedarbeider (Shop assistant) | Shop floor and till, with light admin access. |
| Lagermedarbeider (Warehouse worker) | Picks, packs and ships web orders. |
| Kundeservice (Customer service) | Customer enquiries, refunds and subscription changes. |
| Ordre- og abonnementsviser (Order and subscription viewer) | Read access to orders, subscriptions and customers. |
| Regnskapsfører (Accountant) | Read access to financial data and reports. |
| Innholdsprodusent (Content producer) | Manages the catalogue only (products and categories). |
A user without a role is an ordinary webshop customer and has no access to the admin panel.
How to add an employee
You can either create the user yourself or send an invitation by email.
Create the user yourself
- Go to «Innstillinger» (Settings) → «Tilgang og sikkerhet» (Access and security) → «Brukere» (Users).
- Press the button to create a new user at the top right.
- Fill in «Navn» (Name), «E-post» (Email), «Passord» (Password) and «Bekreft passord» (Confirm password).
- Choose «Rolle» (Role).
- Optionally fill in «Ansatt-ID» (Employee ID). The employee can then sign in to the POS app with their employee ID and PIN instead of picking their name from the list.
- Save.
Invite by email
- Go to «Brukere» and press «Inviter til butikk» (Invite to store).
- Enter «E-post» and choose «Rolle».
- Send. You see the message «Invitasjon sendt» (Invitation sent).
The invitation is valid for 7 days. When the person accepts it, they get access with the role you chose. If they do not already have a user, one is created and an email is sent so they can set a password. The invitation is also what lets a person switch between several stores – see Multiple stores and switching between stores.

Till PIN for cashiers
Employees who use the POS app or the browser-based till app sign in with a till PIN (kasse-PIN).
- Open the user in «Brukere».
- Press «Kasse-PIN» at the top of the page.
- Enter a «Ny kasse-PIN» (New till PIN) of 6 digits and press «Lagre» (Save).
To remove the PIN, turn on «Fjern PIN» (Remove PIN) in the same dialog. The «Kasse-PIN» column in the user list shows «OK», «Kort PIN» (Short PIN) or «Låst» (Locked). If a PIN is locked after too many wrong attempts, press «Lås opp kasse-PIN» (Unlock till PIN) in the list, or set a new PIN.
Customising roles
- Go to «Innstillinger» → «Tilgang og sikkerhet» → «Roller og tillatelser» (Roles and permissions).
- Press «Rediger tillatelser» (Edit permissions) on the role you want to change.
- Tick or untick permissions. They are grouped by area, for example «Ordrer» (Orders), «Produkter» (Products) and «Kasse (POS)».
- Press «Lagre tillatelser» (Save permissions).
To create a completely new role, type a «Rollenavn» (Role name) under «Opprett egendefinert rolle» (Create custom role) and press «Opprett rolle» (Create role). Then edit its permissions the same way.
Good to know
- The owner is protected. The Eier role always has full access and cannot be changed. The owner user cannot be deleted, and others cannot change the owner's email or password.
- Built-in roles cannot be deleted, but you can change their permissions.
- You cannot give away more than you have. Permissions you do not hold yourself are greyed out and cannot be ticked.
- Platform billing is owner-only. Not even an administrator gets that permission.
- A cashier can sell on credit but cannot override the credit limit. A store manager can.
- Changes are logged. Created, edited and deleted users, changed role permissions and changed till PINs are recorded in the audit trail.
