Gift cards – administration

Gift cards in Cmerce are digital. The customer receives a code (and a QR code) by email or SMS, or a printout from the till. The gift card can be used in both the webshop and the till, including to pay part of a purchase, and the remaining balance stays on the card. Here you see how to set up and manage gift cards.

Before you start

• The settings are under «Innstillinger» (Settings) and require the «Utseende og merkevare» (Appearance and branding) permission.
• To issue and change gift cards you need the «Utstede gavekort, justere saldo, annullere og sende på nytt» (Issue gift cards, adjust balance, void and resend) permission.

How to do it

Set up gift cards

1. Go to «Innstillinger» → «Salg og betaling» (Sales and payment) → «Gavekort» (Gift cards).
2. Under «Kasse» (Till), switch on «Selg gavekort i kassen» (Sell gift cards at the till) if the till should be able to sell gift cards.
3. Under «Nettbutikk» (Webshop), switch on «Selg gavekort i nettbutikken» (Sell gift cards in the webshop) and add «Valører» (Denominations) – the fixed amounts the customer can choose from.
4. Under «Kasse (POS)», set «Minste beløp (kr)» (Minimum amount) and «Største beløp (kr)» (Maximum amount) for gift cards sold with a free amount at the till.
5. Under «Gyldighet og vilkår» (Validity and terms), set «Gyldighet (måneder)» (Validity, months) – at least 12 months – and write your «Vilkår» (Terms).
6. Save.

In the webshop, customers find gift cards on the «/gavekort» page, and can check their balance on «/gavekort/saldo».

Issuing a gift card manually

Use this when you want to give away a gift card without selling it at the till or in the webshop.

1. Go to «Salg» (Sales) → «Gavekort» and click «Utsted gavekort» (Issue gift card).
2. Fill in «Beløp (kr)» (Amount) and «Utløpsdato» (Expiry date).
3. Choose «Finansiering» (Funding):
   • «Gratis / markedsføring» (Free / marketing) – booked as a marketing cost.
   • «Kompensasjon / kundeservice» (Compensation / customer service) – booked as a cost.
   • «Betalt utenom systemet» (Paid outside the system) – for example paid by bank transfer. Fill in «Referanse» (Reference) and choose the «Oppgjørskonto» (Settlement account).
4. Optionally add the recipient's name, email, phone and a message. With «Send til mottaker nå» (Send to recipient now), the gift card is sent straight away.
5. Click to issue.

Managing a gift card

1. Go to «Salg» → «Gavekort» and open the gift card.
2. You see the code, status, «Saldo» (Balance), «Reservert» (Reserved), «Tilgjengelig saldo» (Available balance), the original amount and the full history.
3. Choose an action:
   • «Juster saldo» (Adjust balance) – add or remove an amount. A reason is required.
   • «Forleng gyldighet» (Extend validity) – set a new expiry date.
   • «Send på nytt» (Resend) – send the gift card to the recipient again.
   • «Annuller» (Void) – sets the balance to zero. Under «Oppgjør» (Settlement), choose whether the amount has been refunded to the customer outside the system, or is kept. Cannot be undone.

Good to know

• «Reservert» is money held for online orders that have not been delivered yet. It is finally deducted when the order is charged, and released if the order is cancelled.
• A gift card bought in the webshop is only created once the payment has been charged, not when it is merely reserved.
• A gift card cannot buy another gift card.
• Returns: A gift card can only be returned while it is unused. If a customer paid with a gift card and returns the goods, the gift card's share goes back onto the gift card first.
• A wrong code, an expired card and an empty balance all give the customer the same message, so nobody can guess their way to valid codes.

Frequently asked questions

The customer has lost the code. What do I do?

Find the gift card under «Salg» → «Gavekort» and use «Send på nytt» if it has an email address.

Can I extend a gift card that has expired?

Yes, with «Forleng gyldighet». The balance becomes usable again.
