What is sent to the accounts?
An overview of the vouchers Cmerce sends to your accounting system from the till, the webshop and subscriptions – and how to follow the export in Export history.
Once your accounting system is connected (see Connect Fiken), Cmerce turns your sales into vouchers and sends them there. This article explains what is sent from each sales channel and how to check that everything has arrived. It is written for both you and your accountant.
From the till: one voucher per Z-report
Till sales are always booked as a total per end-of-day report (Z-rapport), never per receipt. The voucher contains:
- Sales revenue excluding VAT, split by revenue account (per VAT rate, or per accounting group if you have set those up).
- Output VAT per rate.
- The payments split by payment method – cash, bank card, Vipps and so on – on the accounts you chose in the chart of accounts.
- Gift cards sold are booked as a liability (outstanding prepayment), not as revenue. The revenue comes when the gift card is used.
- Rounding difference (øredifferanse) from rounding cash payments.
If you have switched on «Bokfør kassedifferanse» (Book cash variance), the cash variance from the count is also sent as a separate voucher (type «Kassedifferanse»).
Credit sales at the till are not included in the end-of-day voucher. The invoice books them – see below.
From the webshop and subscriptions: by capture date
Webshop and subscription sales are booked on the day the money was actually captured, not the day the customer ordered. Each capture produces a «Kvittering» (receipt) and each refund a «Kreditnota» (credit note) (see Sales documents for online sales). These documents are what is sent to the accounts:
- With level of detail «Dagsoppsummering» (Daily summary), one voucher is sent per day and channel (type «Nettsalg (belastningsdag)»).
- With «Per ordre» (Per order), each receipt and credit note is sent as its own voucher (types «Kvittering» and «Kreditnota»), carrying the same number as the document the customer received.
Invoices and credit sales
An invoice is created in the accounting system and books both the revenue and the customer receivable there. Invoiced sales are therefore kept out of all daily vouchers – otherwise the revenue would be booked twice.
If it is certain that the invoice for a credit sale at the till will never be created, and the sale is at least three days old, Cmerce books the sale anyway with a separate voucher («Kredittsalg uten faktura», credit sale without invoice). Read more in Invoicing and credit sales.
Other vouchers
| Type in Export history | What it is |
|---|---|
| «Utgåtte gavekort» | Expired gift cards, taken to revenue. |
| «Gavekort (utstedt)» | Gift cards issued from the back office. |
| «Gebyr kortinnløsning» | Card acquiring fees from Surfboard payouts, for shops that use Surfboard. |
| «Tilbakeføring kredittsalg» / «Retur kredittsalg uten faktura» | Corrections relating to credit sales without an invoice. |
Customers and products can also be synchronised, if you have switched that on under «Innstillinger» (Settings) on the accounting card.
Follow it in Export history
Go to «Integrasjoner» (Integrations) → «Regnskap» (Accounting) → «Eksporthistorikk» (Export history). Each row is one voucher, with «Dato» (Date), «Type», «Kanal» (Channel), «Beløp» (Amount) and «Status». In the «Bilag» (Voucher) column you can open the voucher directly in the accounting system.
| Status | Meaning |
|---|---|
| «Venter» / «Eksporterer» | Pending / exporting – the voucher has been created and is on its way. |
| «Eksportert» | Exported – the voucher exists in the accounting system. |
| «Hoppet over» | Skipped – nothing to book, for example a day with no amounts. |
| «Feilet» | Failed – the accounting system rejected the voucher. The error is shown in the «Feil» (Error) column. |
| «Oppgitt — må håndteres» | Abandoned – Cmerce gave up after several attempts; needs handling. |
| «Usikker — sjekk i regnskapet» | Uncertain – the transfer was interrupted, and it is unclear whether the voucher arrived. |
How to fix a failed voucher
- Open «Detaljer» (Details) on the row and read the error message from the accounting system.
- Fix the cause – often an account missing from the chart of accounts, or a connection that needs renewing.
- Click «Prøv igjen» (Try again).
If the voucher shows «Usikker — sjekk i regnskapet», first check in the accounting system whether the voucher exists:
- If it does, click «Merk som bokført» (Mark as booked) and preferably fill in the voucher number. It will then never be sent again.
- If it does not, click «Prøv igjen».
In short
- The till: one voucher per Z-report. Webshop and subscriptions: by capture date, per day or per document.
- Invoiced sales are booked by the invoice, never in the daily vouchers.
- Every sale is booked once – Cmerce keeps track of what has been sent.
- How the vouchers should be treated further in the accounts, for example in VAT reporting, is a question for your accountant. Contact your accountant or auditor.
