Sales documents for online sales

Every time a webshop sale or a subscription is captured, the customer receives a numbered «Kvittering» (receipt), and every refund produces a «Kreditnota» (credit note). How it works and how it ties in with your accounts.

In the webshop, the card or Vipps payment is first reserved when the customer orders, and captured when you ship, deliver or the customer collects the goods – or when a subscription period starts. At the moment the money is captured, Cmerce creates a numbered sales document (salgsdokument) for the customer: a «Kvittering» (receipt). A refund likewise produces a «Kreditnota» (credit note). These documents are the basis for booking your online sales.

Before you start

  • Sales documents are switched on by default for all shops. If you see the banner saying the feature is not enabled, contact Cmerce.
  • Check your company details under «Innstillinger» (Settings) → «Bedrift» (Company) → «Butikkprofil» (Store profile), tab «Firmaopplysninger» (Company details). Name, organisation number, address and VAT registration are taken from there. If the business is an AS, ASA or NUF, «Registrert i Foretaksregisteret (AS, ASA eller NUF)» (Registered in the Register of Business Enterprises) must be switched on – the «Hent» (Fetch) button fills this in from the Central Coordinating Register for Legal Entities.

How it works

  1. The customer orders and receives an order confirmation. This is not a sales document.
  2. You capture the payment, for example when the order is shipped or collected.
  3. Cmerce creates a «Kvittering» with the next number in the series and emails it to the customer, with the receipt attached as a PDF and a link to the document.
  4. If you refund all or part of the order, a «Kreditnota» is created once the payment provider has confirmed the refund. The credit note refers to the receipt it corrects, by number and date.

What the receipt contains

  • The seller's name, organisation number (with «MVA» when the shop is VAT-registered), address, phone and email.
  • Number and document date (the capture time, Norwegian time) and order reference.
  • The buyer's name, and where relevant company name and organisation number, address or email.
  • Time and place of delivery: the delivery address, the shop where the goods were collected, digital delivery, or the subscription period.
  • Each order line with quantity, unit price, VAT rate and discount.
  • VAT per rate, total excluding VAT, total VAT and total amount in NOK.
  • Each payment separately, with payment status.

Finding the documents

  • In the admin: Go to «Salg» (Sales) → «Ordrer» (Orders) and open the order. Under «Salgsdokumenter» (Sales documents) you see each receipt and credit note, and whether it has been sent. «Send på nytt» (Send again) sends the document to the customer again, optionally to a different email address.
  • The customer: Logged-in customers find their receipts on the order under «Mine ordrer» (My orders) in the webshop. The link in the email also keeps working.

Good to know

  • One series, no gaps. Receipts and credit notes share one consecutive number series per shop.
  • Can never be changed. An issued sales document cannot be edited or deleted. A mistake is always corrected with a credit note.
  • Partial capture and split payment. Each capture produces its own receipt. Several payments that belong together on the same day are combined in one receipt.
  • Free orders. An order discounted to NOK 0 gets a NOK 0 receipt when it is delivered. Nothing is booked, because no money was received. Whether giving goods away free should be treated as a withdrawal (uttak) is something to discuss with your accountant.
  • Invoiced orders do not get a sales document from Cmerce. The invoice from the accounting system is the sales document. See Invoicing and credit sales.
  • Not a till receipt. The sales document is not signed by the POS, is not part of the SAF-T Cash Register export and is never printed at the till. If a web order is returned at the till, the till prints its own return receipt, and the customer also receives the credit note by email.
  • Retention. Sales documents are kept for 5 years and are retained even if the customer asks for their personal data to be deleted.

Frequently asked questions

Why is an online sale booked on a different day from the order?

Because the sale is documented when the money is captured, and the bookkeeping follows the document. This is described in What is sent to the accounts?.

Do I need an accounting system connected?

No. The customer receives receipts and credit notes regardless. Without an accounting integration, your accountant can book from the documents.

Is the content good enough for my accounts?

The receipt is designed to meet the requirements for a sales document. If you have special needs, contact your accountant or auditor.
