Electronic journal

The electronic journal is the till's black box. Here is what the law requires it to contain, how Cmerce protects it against change and deletion, and where to find it.

Everything that happens at the till must be written continuously to an elektronisk journal (electronic journal): every sale, every return, every copy receipt, every drawer opening, every X- and Z-report. The journal is the basis for checks – both your own and Skatteetaten's. The most important requirement is that nobody can change or delete anything in it.

What must the journal contain?

«Continuous use» means all use of the cash register system, not just sales. In addition to the first paragraph, § 2-7 requires among other things that:

  • the times the integrated cash drawer is opened must appear in the journal (second paragraph)
  • price changes and other changes to fixed data must be recorded (third paragraph)
  • the operator's name or staff number must be recorded with the transactions, where operators are identified (fifth paragraph)
  • all use must be identifiable and distinguishable (sixth paragraph)

What does Cmerce record in the journal?

Cmerce records these events, among others, each with time, register and operator:

  • completed sales, returns, returns without receipt and credit sales
  • cancelled sales, and parking and resuming sales
  • deleted lines and reduced quantities in a sale in progress
  • training sales, and when training mode is switched on and off
  • opening and closing shifts, X-reports and Z-reports
  • original receipt printed, copy receipt printed, and receipt sent by e-mail or SMS
  • opening and closing the cash drawer – including openings the till did not ask for
  • gift cards and punch cards issued, redeemed and voided
  • when an operator signs in and out with a kasse-PIN (till PIN)

Price changes are recorded in a separate, locked price history, and changes to settings are recorded in the audit trail. See Audit trail and grand total.

How Cmerce protects the journal

  • Cannot be changed or deleted. There is no function in Cmerce – not in the till, the admin panel or the till app – that can change or delete a journal entry. A mistake is always corrected with a new entry, such as a return.
  • Nobody has database access. You and your staff can only reach the till, the admin panel and the webshop. No user gets direct access to the database holding the journal.
  • Signed and chained. Each entry is signed and linked to the previous entry for the same register. If anything is changed, the chain breaks and it is detected. See Digital signature.
  • Checked every night. Cmerce checks the chains automatically and notifies the shop's administrators if something does not add up.
  • Stored on the server, not the device. The journal lives on Cmerce's servers. The till app stores no journal data on the tablet or phone.
  • Can be exported. The journal can be exported as a SAF-T Cash Register file at any time. See SAF-T Cash Register.

Where do you find the journal?

Go to «System» → «Logging» → «Elektronisk journal» (Electronic journal). There you can search and filter the entries and see whether the signature chain is intact. The page is read-only – there are no buttons to change or delete anything. You need a separate permission to view the journal. The owner always has it.

What you must do yourself

  • Register everything in the till. The journal can only show what has actually been registered. Sales outside the till do not exist in the journal.
  • Give each employee their own login or till PIN. Then the right name is recorded on every transaction.
  • Use a backup solution if something fails. If the till cannot be used, you must use a suitable backup solution until the fault is fixed (bokføringsforskriften § 5-3-11). Contact Cmerce as soon as possible.

In short

  • The journal contains all use of the till, not just sales.
  • In Cmerce it is signed, chained, checked every night and impossible to change or delete.
  • You find it under «System» → «Logging» → «Elektronisk journal».
  • It can be exported as SAF-T Cash Register.
  • Your job is to register everything in the till and let each employee use their own login.
