Audit trail and grand total

In addition to the electronic journal, Cmerce keeps an audit trail of settings, logins and price changes, and a separate grand total log. Here is what they are, why they exist and where to find them.

The electronic journal shows what happened at the till. But an inspection will often also ask: Who changed the price? Who switched off a setting? How much has this register sold in total since it was put into use? The kontrollspor (audit trail) and the grand total log answer those questions.

Grand total

The grand total is the till's «odometer». While the day's figures reset at each Z-report, the grand total keeps counting for the register's whole lifetime.

How Cmerce does it:

  • One row per transaction. Every completed transaction on a register is added to a separate grand total log (GTL-logg), with running totals. The log is locked and chained, just like the journal.
  • Cannot restart from zero. The till refuses to register a sale that would restart the counters from zero, and a Z-report is refused if the counters would show lower figures than the previous Z-report for the same register.
  • Only cash sales count. Credit sales, gift cards sold, returns of web orders and training are in the log but do not move the counters.
  • The same on X and Z. The X-report shows the same running figures as the Z-report.

You find the log under «System» → «Logging» → «GTL-logg» (GTL log). For each register it shows whether the log has no gaps, whether the chain is intact, whether the counters have only increased, and whether every transaction is included.

Audit trail

The audit trail is a log of everything other than the sales themselves – the things that can affect how the till and the shop work.

What the audit trail records, among other things:

  • logins, logouts and failed login attempts – including with a till PIN
  • changes to settings, and which fields were changed
  • changes to roles, permissions and users
  • price changes
  • card payments started, approved, declined or cancelled
  • discounts and coupons used at the till
  • training mode switched on and off
  • registrations refused because the cash drawer was open
  • SAF-T exports: who, which period and which registers
  • order status, capture and handover of web orders

Each row shows who did it, when, and from which register and device. If something is done automatically, for example by an integration, the integration's name is shown – nothing is anonymous.

What is deliberately not recorded: free text that may contain personal data, such as the label on a parked sale or a note on a sale line. The audit trail only shows that a text existed.

Events reported by the till app (Kasse-appen) on Android itself – for example that the connection dropped – are marked as reported by the app. They help with troubleshooting, but are never part of the journal or the SAF-T file.

You find the audit trail under «System» → «Logging» → «Kontrollspor» (Audit trail). You can search and filter by date, category, register, person and event, and export to CSV. Separate permissions are needed to view and export the log, and nothing in it can be changed or deleted.

Price history

All price changes are also stored in a locked price history under «System» → «Logging» → «Prishistorikk» (Price history), with the old price, new price, who changed it and when. It is used, among other things, to show the correct reference price when you advertise a discount. See Reference price and before-price.

How long?

The journal, the grand total log and the price history are kept for at least five years and cannot be deleted. The audit trail is kept for five years and then cleaned up automatically – and the clean-up itself is logged. See Retention.

What you must do yourself

  • Give each employee their own user and till PIN. Shared logins make the audit trail worthless.
  • Give access to the logs only to those who need it, such as the owner and your accountant.
  • Review the audit trail from time to time, for example after someone has left.

In short

  • The grand total is the till's running total that never resets. Cmerce keeps it in a separate, locked log and refuses to let it restart from zero.
  • The audit trail shows who changed what – settings, prices, permissions and logins.
  • Both are under «System» → «Logging», together with the journal and the price history.
  • Nothing in the logs can be changed, and they are kept for five years.
